Office manager: the role
As the Office Manager, you’ll be responsible for the day-to-day commercial operations of the department, ensuring planned, predictable and efficient operations in line with the daily, weekly and monthly cadence of commercial operations activities.
The role extends across the Commercial and Projects Departments to ensure adherence to established processes with an emphasis on timely process execution and customer-centricity.
Who you will interact with
The Chief Operations Officer will be your manager, and you’ll interact with the teams under his direction and with other parts of the company (e.g. Commercial and Projects) as needed.
Requirements
- Proficient in Microsoft Office Suite and ERP systems, ideally Epicor.
- Ability to create, run and manage processes and key stakeholders.
- Experience in data analysis and management.
- Experience in a fast-paced commercial and project management environment.

Key responsibilities
- Record and monitor all inbound Request for Quotations (RFQ) via different channels, including the website.
- Provide visibility of all enquiries the business receives, following up and acknowledging receipt as appropriate.
- Chair daily commercial meetings with emphasis on the following.
- Prompt enquiry allocation and monitor on-time quote submission.
- Proactively maintain Quote Register and Hot Prospect documents.
- Manage the Order Intake Register and dashboards.
- Timely process orders, ensuring accuracy and reporting on observed trends.
- Support the development of the Sales Order Intake budget preparation process.
- Provide proactive support ‘outside’ the traditional sales role, including, but not limited to Inside Sales activities, be a point of contact for customer support, etc.
- Assist in developing and implementing new procedures and processes to improve efficiency and effectiveness.
- Support colleagues with needs such as creating templates, generating statistics from the quote register, order intake register or Epicor, creating sales order numbers for quality for non-conformity purposes, etc.
- Point of contact for administering and completing customer questionnaires.
